Terms & Conditions of The Lake 3000 Ultra

RACE RULES

1.      It is the sole responsibility of each participant to familiarise themselves with, and adhere to, all rules and regulations relevant to the event they have entered. Prior to completing payment and entry, participants must read, understand, and agree to all terms set out in the Runner Declaration, which is made available in advance. Participants are also required to review the full event rules prior to participation. Ignorance of any rule, policy, or pre‑event instruction will not be accepted as an excuse for non‑compliance. Any breach of the rules may result in penalties, sanctions, or disqualification, regardless of whether the participant has chosen to acquaint themselves with the published rules and guidance.

2. Participant MUST attend the race registration themselves; no one can do this on their behalf. As proof of identity, participants must present photographic identification displaying their date of birth, prior to completing the race registration process

3.  All participants MUST be aged at least 20 years of age on race-day.

4.  Race-bibs are handed over to each runner after presentation of a vali photo ID with D.O.B & Kit Check.

5. Race-bib: The emergency contact & medical details area on the reverse of the race number must be completed prior to the event starting. The race number must NOT be folded or modified in any way and must be located on your front or rear of rucksack only. It may only be covered by waterproof clothing, which must be removed/pulled aside to reveal the number on approach to any checkpoint, Mountain Safety Team member, etc. in order for them to identify you.

6.To ensure participant safety, every runner is required to carry all items listed on the mandatory equipment checklist. These items must remain with the runner for the entire duration of the race, regardless of whether they are in active use. Participants are solely responsible for their own equipment at all times, including in the event of withdrawal, retirement, accident, or injury. Crystal Outdoor Events Ltd accepts no responsibility for the loss of, damage to, or recovery of any personal equipment in any circumstances.

7.Random equipment checks will be carried out during the race. Disqualification will be applied to runners who does not have all the mandatory equipment with them.


8.Please note: The items listed on the mandatory equipment checklist represent the essential gear that each runner is required to carry at all times. Runners are advised not to select the lightest clothing available; instead, they should ensure their attire offers sufficient protection for mountainous or varied terrain and can withstand diverse weather conditions.,

9.Bring cold weather/ hot weather additional kit to registration for kit check

10. It is important to pack all this equipment in a way that preserves it from rain/snow and keeps it dry when it needs to be used. Store in Dry bag or sealable plastic bags

11. If runners choose to take hiking poles with them, they must carry them for the entire duration of the race. It is forbidden to start without poles and get them during the course of the race or drop on route.

12. Entries cannot be transferred to another participant.

13. Cancellations received up to 1st May 2027 : 50% refund of the entry fee.

14. Cancellations received After that Date no refund available.

15. Crystal Outdoor Events ltd understand injuries do occur so would URGE ALL RUNNERS to take out Insurance like Xcover or BMC Personal Cover to help claim back the entry fee (due to injury) and thus following the insurance company’s process. Please be aware that the Insurance Company determines whether the nature of your injury will necessitate a refund.

16. If you withdraw your entry, it will be removed from the event for that year. You will be required to re‑enter for the following year’s event during the standard entry period. Your place will then be offered to another participant on the waiting list, provided this falls within the designated timescale.

17. Runners competing with someone else's number will be disqualified. Both parties will be band from Crystal events

18. The participant must declare the use of a guide at registration.[email]

19. Participants who meet the eligibility criteria and require a guide (e.g., due to visual impairment or other recognised needs) may compete with a guided runner.

20.   The guide is considered a full participant for the purposes of race conduct and must accept and comply with all race rules and the runner’s declaration.

21. Pregnancy Deferral

22. Women who have entered the event and are, or become, pregnant prior to race day can defer entry for up to two years.

23. Women who fall pregnant again during the deferral period may request another deferral for up to an additional two years.

24. To defer please Email with the medical certificate/medical   confirmation of the pregnancy/birth.

25. All other rules and requirements for race entry will apply.

28. Our race routes often pass through many rural settlements. When passing through these areas, you must aim to minimise your impact by being respectful of local inhabitants: keep noise to a minimum, dim your headtorch, do not infringe on people’s privacy, do not frighten livestock, etc. At all times, you must NOT cause any unnecessary damage to property, footpaths, the environment, etc. Any accidental damage caused to any gates, boundaries, etc. MUST be reported to a member of the Event Team (Check point) at the earliest opportunity. Misconduct will lead to Disqualification

29. All gates MUST be left as they are found. Usually this means ensuring they are closed properly (secured by any latch or similar), unless it is very obvious that is has been tied or kept open by an immovable object, put in-situ by a farmer, or otherwise. Maintaining relationships with local farmers and landowners is of great importance to securing the ongoing running of our events. Disqualification for any runner who is proven to have purposefully left any gate or similar open,

30. Participants may not enter any private land (generally everywhere not marked as Access Land) or areas marked as out of bounds on the map. In England and Wales this means that if participants are not on a marked path/right of way, or in open access land, then they are most likely out of bounds. (Unless on Route card or official GPX file

31. Participants may not enter areas which are clearly private or pass signs forbidding entry. Unless on Route card or Official GPX file

32. Participants may not cross any fences or walls marked on the map as uncrossable (even if they seem to be physically crossable on the ground), except at the designated crossing points.

33. You Must stay on the mandatory route of the GPX file, map & route card, runners MUST respect the route as depicted on the event map or gpx file and not take any shortcuts or alternative routes, etc. (such as cutting corners on zig zag path)The event team can use the a GPS location traces (captured from the tracker every 30 seconds), to check for adherence to the above, prior to any results becoming official. 

34. Honest mistakes happen – sometimes the map isn't clear, the weather is poor, and people get tired. If participants mistakenly cross an uncrossable wall or fence, or pass through a forbidden area, then they should turn around, retrace their steps and leave the same way that they entered (whilst minimising any impact to the environment) in order to mitigate the error. In some circumstances the best course of action will be to minimise the impact (i.e. damage caused to walls/fences, and the amount of time spent in forbidden areas) by not retracing steps. In this case the participants should decide the best course of action (e.g. get out of the forbidden area as soon as possible) and then immediately inform the Senior Event Team at the finish. The Senior Event Team will assess whether to penalise the participant(s).

35. Participants must NOT drop or leave litter of any sort during the race. This includes Gels or any organic matter (banana skins, etc.) anywhere on the route at any point. Bins are provided at all checkpoints. If Found dropping litter of any kind will be disqualified from the event

36. Participants have no right of way over any other recreational users (e.g. walkers, cyclists, horse riders) and should announce themselves when approaching, passing only when safe to do so, allowing plenty of room and always remaining polite and courteous

37. At any road crossings, or sections of the route that run along roads shared with Road traffic, you MUST exercise common sense. i.e. running on the right-hand side of the road towards oncoming traffic (with dipped head torch, if dark), being visible at blind corners, crossing roads safely

38. Listening to Music /podcasts by any other way than Earphones is NOT permitted (Speaker)

39. Listening to music/Podcast using Open Earphones (Shokz) OR 1 Ear Bud ONLY, THIS is as long as it is safe to do so. Any earphones MUST be removed when crossing any roads, or on the Roadside, as well as the approach to a Check points, whist at any checkpoints. When approaching and passing any Mountain Safety Team members Or The Medical Team.

40. You MUST NOT use earphones on the Course from Check point 2 Wasdale, Over the Scafell Range. This includes Scafell, Foxes Tarn/gully. Mickledor col, Scafell Pike, Broad Crag col, Broad Crag to Esk Hause (Earphones can be used)

41. This is for safety reasons. It is important to be fully aware of your surroundings, wearing earphones does not allow this. Any competitor found using earphones at this point will be at risk of disqualification.

42. Respect the Event team The majority of our event team are volunteers who are here to support you, help you reach the finish line, and ensure the smooth running of the event. Just like you, they may be under pressure and feeling tired. Please treat them with the same courtesy and respect that you would wish to receive yourself.

43. Any threatening or abusive physical/verbal behaviour towards any other participants, members of the Event Team or members of the public by any event participant will NOT be tolerated. You will be required to leave the event at all costs to yourself & will be Banned from any Crystal event.

44. Participants may not use performance enhancing drugs as described by the World Anti-Doping Agency (www.wada-ama.org). . We reserve the right to employ anti-doping controls at any of our events. Any participants caught doping will be disqualified, face a ban from all Crystal Outdoor Events Ltd. events, and may be subject to legal proceedings by the relevant anti-doping authority, sport governing body and other parties

45. DO NOT take within 24 hours prior to, as well as during the event, should any participant consume nonsteroidal anti-inflammatory (NSAI) drugs, such as ibuprofen, naproxen, etc. These can be highly dangerous when consumed during sports, particularly long-distance running.

46. Participants must NOT consume alcohol or Take any Recreational drugs or illegal substances of any sort while participating in the event. Life Band from Crystal Outdoor Events ltd. Local authorities may be informed.

47. Alcohol and smoking are only permitted in designated areas, and only once you have either completed the event or officially retired from it.

48. All runners are required to stop and offer assistance to any fellow competitor who is injured or in difficulty. The Race Directors will recognise and reward those who provide help, including applying a fair time credit where appropriate. Failure to assist a fellow participant in need may result in immediate disqualification and a ban from all future Crystal Outdoor Events LTD events. Furthermore, if you encounter anyone, whether part of the event or not, who requires urgent or emergency assistance, you are expected to help. Knowingly failing to do so Could lead to disqualification

49. We will utilise Open Tracking GPS, and you will be issued with a GPS tracking device at Registration<this will be attached to your Race vest/rucksack. Failure to ‘enter or cross the timing mat at any of the checkpoints or virtual checkpoints on the course will result in disqualification.

50. Lost, unreturned or damaged GPS trackers will be charged at the rate of £300.00

51. The SOS activation function on your GPS tracker must ONLY be used on purpose, in a genuine emergency situation, where there is a threat to life or limb and you are immobilised.

52. Emergency contact number will be printed on the front of your race Number/Bib

53. Your Mobile Phone must be with you at all times & charged. A power bank or way of re-charging must be always carried.

54. GPS System must have a charging facility

 Participants are required to have two methods of navigation accessible at all times while on the course.

55. You must report back to the Race Director/Timekeeper at the Event Centre/ Finish line when you finish or if you retire from the race. You must return your Open Tracking GPS tracking device: this is THE GOLDEN RULE. Failure to do so will have Costs involved.

56. All participants must leave each checkpoint before its official closing time and must have passed any intermediate cut‑off points before the stated deadlines. Any participant failing to do so will be timed out, immediately withdrawn from the event, and reported to Race Control.

57. Once a participant has been timed out, they are solely responsible for making their way, without delay and by their own means, to the nearest designated repatriation point. Any individual who continues on the course after being officially timed out does so entirely at their own risk and will no longer be under the responsibility, duty of care, or insurance cover of Crystal Outdoor Events Ltd in any respect

58. If a timed‑out participant continues on route and becomes a danger to themselves or others, the matter may be referred to the local authorities. Any breach of this rule will result in disqualification and a ban from all future Crystal Outdoor Events Ltd races

59. The Event Team reserves the right to retire any participant at any point during the event if, in their judgment, the individual has fallen behind the required schedule for course completion. This measure is in place to ensure the safety of the participant, other competitors, and the Event Team. Any participant who engages in undue confrontation, obstructive behaviour, or abusive conduct towards the Event Team in relation to such a decision will be disqualified from the event and may be subject to further sanctions, including exclusion from future events organised by Crystal Outdoor Events Ltd

60.  The Event Team and Medical Staff reserve the absolute right to withdraw any participant from the race at any time on medical grounds, if in their professional judgment it is unsafe for the individual, other participants, or members of the Event Team for them to continue. Any participant who engages in undue confrontation, threatening behaviour, or obstructs the decisions of the Event Team or Medical Staff may be disqualified from the event and may be subject to further sanctions, including exclusion from future events organised by Crystal Outdoor Events Ltd.

61. Runners who withdraw or who are withdrawn at any aid station or checkpoint, but whose condition does not require medical evacuation, must make their way as quickly as possible, and by their own means, to the nearest designated repatriation point.

62. If a runner wishes to withdraw while on the route between two checkpoints, he/she must reach the nearest checkpoint where he/she must report their withdrawal to the event team,

63. Except in cases of injury or were advised by the Medical Team, a runner may only withdraw from the race at an official checkpoint, unless faced with an emergency. In all cases, the runner must inform the checkpoint official so that their withdrawal can be properly recorded.

64.  Crystal Outdoor Events Ltd acknowledges its responsibility to make event courses as safe as is reasonably practicable. However, adventurous activities inherently involve risks that cannot be eliminated, despite all reasonable precautions. Participants accept that accidents may occur without any fault or negligence on the part of Crystal Events Ltd or its staff. Accordingly, Crystal Events Ltd accepts no liability for loss of or damage to personal property, or for personal injury, except where such injury is directly caused by the proven negligence or wilful default of Crystal Events Outdoor Ltd.

65. Due to the remote nature of the event, mains‑supplied drinking water and food provision cannot be guaranteed. The organisers will use reasonable endeavours to indicate where water points and aid‑station food are available, but availability, type, and suitability may vary. It remains the sole responsibility of each participant to carry sufficient supplies and to determine the suitability of any water or food consumed, including consideration of personal dietary requirements, allergies, and medical needs. By entering, participants acknowledge and accept that the organisers bear no liability for the availability, quality, or suitability of any water or food provided or encountered during the event.

66. Participants may only receive assistance from the official Event Team at designated checkpoints where this is permitted. Accepting support of any kind at any other point along the route is strictly prohibited. This includes taking food, water, or other aid from passers‑by, except in the case of a genuine emergency

67. Participants should carry extra nutrition, hydration & other specific items they require in their rucksack.

68.  The mandatory kit must be kept with each participant at all times; failure to comply will lead to disqualification.

69. Support runners or crew members are NOT PERMITTED on the event route. While we recognise that the course is on public land, we ask that this restriction is respected in order to ensure fairness and equality for all participants

70. Crew, family members, and friends are NOT PERMITTED at checkpoint areas. These locations are often remote and limited in space, and additional vehicles or people can obstruct runners and cause disruption within the local community. While we recognise that checkpoints are situated in public areas, this rule must be enforced to protect the smooth running of the event and to safeguard its future. Disqualification may be enforced.

71. Support Along the Route, we appreciate that the route follows public rights of way, and we understand that family and friends may wish to offer encouragement and support to participants. There are plenty of suitable locations along the course where this can happen. We kindly ask that everyone respects the local community and landowners throughout the event. In particular, please keep noise levels to a minimum once night falls, so as not to disturb residents or wildlife.

72. Any threatening or abusive physical or verbal behaviour towards participants, members of the Event Team, or members of the public—whether by a participant’s support crew, friends, or family—will not be tolerated. They will be formally reprimanded and held responsible for the conduct of their supporters. The participant may be disqualified from the event for such actions,

74. Unfortunately, as much as we love the outdoors with our PETS. Dogs or any other animals are not allowed to accompany runners on the route. Disqualification may be enforced

75. All participants must complete the route entirely under their own power. The use of any external assistance—whether by vehicle, device, equipment, or another person—is strictly prohibited. This includes, but is not limited to, travelling by car, motorbike, public transport, bicycle, scooter, using a tow‑rope with another runner                                   

76. Walking poles are allowed

77. Guided runners are permitted to use a tether throughout the event. The tether must be used in a safe manner that does not endanger other participants

78. Prosthetic limbs or other adaptive equipment may be used by impaired participants, subject to prior approval by the Race Director, Approval ensures that equipment is safe, does not provide an unfair advantage, and complies with event safety standards

79. THERLKELD HAS QUIET POLICY ENFORCMENT AFTER DARK  PLEASE RESPECT THE LOCAL COMMUNITY

80. The removal or modification of any route way‑marking materials is strictly prohibited and may only be carried out by the Event Safety Team. If you believe that way‑markers require adjustment or appear to have been tampered with, you must inform a member of the Event Team ASAP. Failure to comply with this rule may result in disqualification

81. Providing false directions or deliberately misleading another participant about the route will be considered unsportsmanlike conduct. Such actions may result in serious consequences for the other participant. i disqualification will be enforced

82. I confirm that I voluntarily release Crystal Outdoor Events Ltd—along with its staff, agents, representatives, associates, sponsors, marshals, and volunteers, from any and all liability, including but not limited to claims, damages, demands, causes of action, legal fees, or losses arising from my participation in the Lakes 3000 Ultra™. This release also applies to any claims made by my family, estate, heirs, or assigns that are connected in any way to the event. This release does not extend to any liability resulting from negligence on the part of Crystal Outdoor Events Ltd.

83. I confirm that I grant permission to the race organisers and their associated media partners to use imagery of me (both still and moving) in marketing materials for the promotion of future editions of the race, or for any new event organised by Crystal Events. Such imagery may be used across all forms of media, including but not limited to online platforms, printed publications, video, news, and broadcast.

84. You agree that we may publish your personal information as part of the official event results and may share such information with the governing body or any affiliated organisation for purposes including insurance, licensing, or the publication of results—whether for this event alone or in comparison with other events. Published results may include, but are not limited to, your name, club affiliation, race times, occupation, and age category. You also consent to your details being shared with Open Tracking to ensure the smooth and accurate operation of the event tracking system. In addition, your details may be shared with third parties via live tracking so that your family, friends, and the general public can follow your progress during the race.

85. If any part of these rules is found to be invalid or unenforceable, the rest of the rules will still apply. Where possible, the affected rule will be applied in a way that makes it valid and enforceable, with only the minimum change needed.


86. Crystal Outdoor Events Ltd will not be liable or responsible for any failure to perform, or delay in performance of, any of our obligations under the Terms that is caused by events outside our reasonable control (Force Majeure Event).

A Force Majeure Event includes any act, event, non-happening, omission or accident beyond our reasonable control and includes in particular (without limitation) the following: strikes, lock-outs or other industrial action; civil commotion, riot, invasion, terrorist attack or threat of terrorist attack, war (whether declared or not) or threat or preparation for war; fire, explosion, storm, flood, earthquake, subsidence, epidemic or other natural disaster; impossibility of the use of railways, shipping, aircraft, motor transport or other means of public or private transport; impossibility of the use of public or private telecommunications networks; the acts, decrees, legislation, regulations or restrictions of any government; and pandemic or epidemic. No refund will be available in this eventuality.

87. These rules and the participant agreement are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.

88. The organization reserves the right to modify, at any time, any aspect necessary for the smooth running of the event.                                                                                                                     This may include changes to the route, starting times, cut‑off times, or the location of aid and medical stations. In the event of force majeure, severe weather conditions, or any other circumstance that may endanger the safety of participants, the organization further reserves the right to postpone the start of the race, modify the cut‑off times, change the start date, adapt the race course, cancel the race, temporarily suspend the race, or terminate the race in progress.

89. In the event of cancellation by Crystal Outdoor Events Ltd, the organization will not be liable for any costs that participants may have incurred in relation to the event, including (but not limited to) travel, accommodation, equipment purchases, or any other associated expenses. Crystal Outdoor Events Ltd reserves the right to cancel, postpone, or amend the event due to circumstances beyond its reasonable control, including but not limited to severe weather conditions, natural disasters, acts of terrorism, pandemics, or restrictions imposed by local authorities. In such cases, every effort will be made to communicate changes promptly to participants, but Crystal Outdoor Events Ltd cannot be held responsible for any resulting inconvenience, loss, or additional costs.
